Adding Individual & Corporate Clients
Client intake is the starting point for all legal matters in MtaaLex. You can register individual clients as well as corporations, institutions, and banks.
Step 1: Open the Clients Directory
- In the left navigation sidebar, click on Clients (or use shortcut
Ctrl + Kand type "New Client"). - Click the blue + New Client button at the top right of the directory.
Step 2: Choose Client Classification
MtaaLex provides two distinct client intake templates:
1. Individual Client
Best suited for personal litigation, succession/probate, land disputes, and criminal defense matters.
- Full Legal Name: Primary client identifier.
- National ID / Passport Number: Crucial for court pleadings and formal affidavits.
- Mobile Phone Number: Primary communication channel for court hearing SMS alerts.
- Email Address: For electronic delivery of fee notes and formal correspondences.
- Physical & Postal Address: For inclusion in formal pleadings and service addresses.
2. Corporate Client
Tailored for commercial enterprises, financial institutions, insurance providers, and government parastatals.
- Company Legal Name: As appearing on the Certificate of Incorporation.
- Registration / Incorporation Number: e.g., CPR/2022/12345.
- KRA PIN: Mandatory for corporate tax reporting and withholding VAT.
- Primary Contact Person: The legal counsel or officer managing instructions (Name, Designation, Phone, Email).
- Industry Sector: Real Estate, Banking, Manufacturing, Energy, etc.
Step 3: Upload KYC Documents
At the bottom of the client intake form, you can securely upload statutory Know Your Customer (KYC) documentation:
- Copies of National Identity Cards or Passports.
- KRA PIN Certificates.
- Certificate of Incorporation / CR12 Form.
- Signed Client Engagement Retainer Agreements.
Click Save Client. The client is immediately added to your active directory, ready to have cases, files, and fee notes attached.
