PDF Export & Client Payment Receipts
Once a fee note has been approved, you can export it as an official PDF on your firm's letterhead and log incoming client payments.
Generating the PDF Fee Note
- From the fee note details view, click the Download PDF or Print button.
- The generated PDF includes:
- Your firm's high-resolution logo and header crest.
- Full physical, postal, and digital contact information.
- Firm KRA PIN and VAT numbers.
- Clear matter reference and court case number.
- Itemized breakdown of legal fees vs. out-of-pocket disbursements.
- Remittance details (Bank account details or M-Pesa Paybill / Till Number).
- Authorized managing partner signature block.
Recording Client Payments & Issuing Receipts
When the client remits funds via bank transfer, cheque, or M-Pesa:
- Open the fee note.
- Click + Record Payment.
- Enter:
- Amount Received (KES).
- Payment Date.
- Payment Method: Bank Wire / RTGS, M-Pesa, Cashier's Cheque, or Client Retainer Drawdown.
- Transaction / Reference Code: e.g., M-Pesa code QK82HS918 or bank deposit slip number.
- Click Confirm Payment.
Partial Payments & Retainers
If a client pays a deposit or partial amount, MtaaLex recalculates the remaining balance and shows an updated status (Partially Paid). Once fully cleared, the fee note is marked Paid in Full and an official payment acknowledgment receipt is generated.
