Creating Fee Notes & Disbursements

Clear and timely billing is the lifeblood of a sustainable legal practice. MtaaLex streamlines the drafting of Fee Notes, Disbursements, and Tax Invoices compliant with the Advocates Remuneration Order.


Step 1: Open the Invoicing Screen

  1. In the sidebar, click on Billing & Invoices.
  2. Click the + New Fee Note button.

Step 2: Matter & Client Selection

  • Client: Select the client from the dropdown. The client's official address and KRA PIN are populated automatically.
  • Associated Case: Link the fee note to a specific litigation file or advisory instruction. This ensures accurate matter profitability reporting.
  • Fee Note Reference: Enter your custom invoice code or use MtaaLex's auto-generated numbering (e.g., FN-2026-0042).
  • Date Issued & Payment Due Date: Standard payment window (e.g., 14 or 30 days).

Step 3: Adding Line Items & Disbursements

A professional fee note separates professional fees from out-of-pocket expenses:

  • Remuneration for drafting, court appearances, client consultations, and settlement negotiations.
  • Specify description, hours/units, and rate (KES).

2. Statutory Disbursements & Expenses

  • Court filing fees paid through the Judiciary e-filing portal.
  • Process server and courier expenses.
  • Official company search fees at the Business Registration Service (BRS).
  • Land registry search and valuation fees.
  • Travel and accommodation costs for out-of-town circuit courts.

VAT (16%) AUTOMATION

If your firm is VAT registered, check the Apply 16% VAT toggle. MtaaLex automatically calculates VAT on the professional fees portion while exempting non-taxable statutory disbursements as required by KRA guidelines.
